So you have purchased a domain name, and you are receiving email and now you want to use it to send email using the same address?
There are 2 types of email addresses we provide
- Forwarding addresses to an existing address you have. (It is unlikely you can send email using your domain name)
- POP/IMAP mailboxes
The alternative approach is you use a 3rd party paid email MX service like the following
- Google Web Apps
- Microsoft Office 365
If you use mailboxes or a 3rd party mail MX service, then you will have no problem sending emails using your domain name. Because you would set any of those services to "receive" and "send" email.
However, if you use forwarding addresses, you may not find it so easy to send emails using your domain name. Gmail used to allow you to set up a domain reply address after proving ownership via a verification code. They no longer support that. So if you are using GMail, and receiving your email ok via email forwarding, then you cannot send email from gmail using your domain, unless, you change to using POP3/IMAP mailboxes. when you make that change, email will no longer automatically forward to your gmail inbox.
Setup GMAIL to send email as 1 domain email address
- First make sure you have changed your email forwarding rules in the CMS to a proper imap/pop3 mailbox.
- Go to gmail accounts settings
- Accounts Tab
- Add a POP3 mail account that you own
- Enter your desired email address
- Your username is your whole email address
- Your password is as per the email mailbox settings from step1 (do not use your CMS password)
- Incoming POP mail server: mail.cms-tool.net
- Continue through the verification steps.
- Then repeat for sending email as, using outgoing SMTP server: smtp.cms-tool.net
Setup your email client to use your reply email address
- It's best if you use ordinary mailboxes.
- Follow the instructions in our CMS to create your email account, and the instructions provided for your chosen email client software.
- If you have more than 1 email account loaded in your email software, you should find a drop down box somewhere near the TO/CC boxes to chose your FROM address, and you maybe able to determine your default account.
Setup Google Apps or Microsoft Office 365
- This is a rough overview only.
- Signup to Google Apps, and follow all their instructions to create your domain
- You can use either the file verification method if your website is live. Or you can use the CNAME or TXT verification method in the domain name, custom DNS area.
- Once you have verified your domain, then you can point your domain email at google apps in our CMS or in your domain registry, change your domain DNS to a custom domain (or GMail DNS template)
- It takes about 24-48 hours for DNS changes to take effect, so leave your old email settings in place for that long.
- After 48 hours, delete your old email settings in the CMS in the domain, email tab, to make sure that there are not 2 different sets of rules for your emails. Our CMS will always preference the "local email rules" over the DNS determined email server.
Setup your email client or other email service to use a custom reply address even though your only have email forwarding enabled
- This is not advised.
- Essentially you just need to change your reply address to your email address in your account settings.
- Essentially anyone can send email as anyone, although, most ISP's and email providers are tighening up on this.
- It is more likely that your sent emails will be detected as spam if the SMTP server you use to send email is not authorised for your domains.
Why is it not advised? Why can't i send via a forwarding email address?
Essentially if it were allowed, then anyone can send an email purporting to be anyone..
In the old days, email was based on trust. You could put any reply address on an email, same as an envelope. It didn't mean the address on the back of the envelop was the exact place the letter was written.
Unfortunately too many hackers, spammers and phishers have used this ability to dupe people, by sending malicious emails on behalf of people who did not authorise it.
All the ISP's etc are now getting tougher, such that only the mailbox associated with an email address is permitted to send emails on it's behalf...
There are several ways that email can be added/accessed on your domain name. Email forwarding, POP3 Mailbox Accounts, IMAP Mailbox Accounts, Google Suite/Apps, Microsoft Office 365, Server Name / MX Record change, Web Mail
You can now add new POP3 or IMAP email mailboxes directly through our CMS. Just click on the red email button under your domain name, then follow the directions
You can find your email mailbox settings via the DOMAINS / EMAILS button in the main menu.

You should normally be able to let OSX detect the settings, but here are the settings shown in you uncheck Automatically manage connection settings.

Make sure you are using the incoming and outgoing mail servers provided by our instructions inside the CMS.
Incoming: mail.cms-tool.net
Outgoing: smtp.cms-tool.net
If you work from multiple locations or through different Internet Providers, then you may find changing your SMTP server all the time is a real hassle
