Our servers need the ability to send notifications, and other emails, using your email address. In order to do this, either we need to manage your domain DNS, or you need to allow us the ability to send emails on behalf of your domains.
SPF
if you have the ability to define SPF records, use something like this... where the bit in bold is our SPF rule. You will also need to do this for any other servers that send email on your behalf...
TXT "v=spf1 include:spf.cms-tool.net ?all"
Whitelist IPs
please whitelist all of these servers to be sure
whitelist our SMTP servers,
And considering our origin servers, depending on block style
- 54.252.211.153
- 54.66.223.143
- 54.79.101.34
- 54.79.40.173
- 54.66.164.171
- 103.121.35.64/27 (additional future range)
Or if your website is hosted on our PHP Servers
- 54.66.212.210
- 3.105.169.193
note this list is subject to change on a semi regular basis...
Alternative Approach
Change the primary website contact email address to a domain name that we manage the DNS for.
General Knowledge.
Our customers understand that we need the ability to send emails on their behalf, including "order notifications", "email newsletters", etc. If we didn't use your email address, we would have to use our own. It would confuse your customers if they got emails from us, and they should not be concerned with who hosts your website.
You need to ensure your IT department (or provider) has considered the implications of our servers sending emails on your domains behalf. We need our web and email servers added to the list of whitelisted services. This is typically done via an SPF record, that will be modified to include your own mail servers. We have also included a list of our current known IP's that send emails. This list includes 3 applications servers, and 2 mail servers. Email can be routed through any combination of those IP addresses.
You should consult and pay for an IT expert to help you for this level of IT support. We do not provide free support in this area except to advise you that you should either consult an IT person with reference to this page, or you should make available 1 special domain solely for your website communications, where we are the DNS provider, so we can manage your SPF record for you automatically as changes may occur every now and again.
Strict Checking
On the end of our SPF record, we use ?all, which means that we don't signal a failure for other servers, we are simply specifying those servers where greater trust can be placed. Email for this domani from listed servers should get through to the inbox better, However, emails from non specified servers to be put in spam folders.
If you are confident you fully understand SPF records, and have considered all other providers who might send emails on your behalf, then you can be really strict, and change the ending of the SPF record to -all, which will tell other servers they can safely reject all email sent for your domain from other servers.
Consider other providers who send emails on your behalf
- Invoicing, Xero, Wave, MYOB etc (eg include:xero.com )
- Mailchimp
- CRMs?
