Typically you should use the SMTP server provided by your ISP.
This means that email you send, will go from your computer, to your ISP's SMTP server and then to the designated recipient. There is no reason for the email you send to go anywhere near our servers. When you receive email, then it will come to our server, and then we will either forward it to you, or put it in your mailbox depending on your setup.
HOWEVER. If you work from multiple locations, or use different ISPs then you may find changing your SMTP server all the time is a real hassle. There are 2 options.
- Install an SMTP server on your local computer
- Use our secure SMTP server
Setup instructions for our SMTP Server (for MS Outlook)
Our new SMTP server can be used from any ISP. These instructions are for MS Outlook but should be similar for other email programs.
- Tools menu-> Account settings
- Select account-> Change
- Outgoing Server: smtp.cms-tool.net
- Do not tick SPA option
- More Settings->Outgoing Server Tab
- Tick "My outgoing server (SMTP) requires authentication
- Tick "use the same settings as my incoming mail server"
- Advanced Tab
- Outgoing Server Port: 25 (or 465)
- Don't tick "This server requires an encrypted connection (SSL)"
- In MS Outlook 2007, if you do want to use SSL, you might set the Encryption type to: TLS
- OK, Next, Finish
Tip, the part people often get wrong is the forget to change the outgoing server port!

Notes for Secure Incoming Servers
We thought we may as well include the secure POP3/IMAP options for those who are interested. Customer support for help with this is chargeable unless we are speaking with an IT professional or the issue is a fault at our end.
- POP3/IMAP Server address: smtp.cms-tool.net
- Secure POP3 port: 995
- Secure IMAP port: 993
In Outlook (POP3 settings):
- Tools->Account settings
- Select account -> Change
- Incoming Server: mail.cms-tool.net
- Do not tick SPA option
- More Settings-> Advanced tab:
- Incoming server (POP3): 995 or 993 for IMAP.
- Tick "This server requires an encrypted connection (SSL)"

Outlook for Mobile is not compatible with our mail servers when trying to connect via a secure (SSL) connection.

You should normally be able to let OSX detect the settings, but here are the settings shown in you uncheck Automatically manage connection settings.
